Please read this document carefully before making a booking. By submitting a booking request, completing our questionnaire or registration form, paying a deposit, or leaving your dog in our care, you confirm that you agree to these Terms and Conditions.
These Terms and Conditions form the agreement between Kay9 Sitting Services (“Kay9”, “we”, “us”, “our”) and the dog owner or lawful keeper (“Owner”, “you”, “your”) for the provision of dog boarding services in our home.
By submitting a booking request, completing our questionnaire or registration form, paying a deposit, or leaving your dog in our care, you confirm that you have read, understood and agree to these Terms and Conditions.
1. Our Services

1.1 We provide home boarding services for dogs in our home environment.
​
1.2 Our services may include, where agreed as part of the booking:
-
overnight boarding
-
feeding
-
exercise and walks
-
play, enrichment and rest
-
administration of agreed medication
-
basic day-to-day care for your dog’s welfare
​
1.3 All bookings are subject to:
-
availability
-
suitability of your dog for home boarding
-
our licensing limits and legal obligations
-
a successful meet-and-greet, assessment, or trial session where we require one
​
1.4 We reserve the right to decline or cancel a booking where we reasonably believe that:
-
we cannot safely or lawfully care for your dog
-
your dog is unsuitable for our home environment
-
the information you have provided is inaccurate or incomplete
-
your dog’s health, welfare or behaviour presents a risk to itself, our household, resident dogs, other boarded dogs, or the public

2. Owner Declarations and Responsibilities

2.1 You confirm that you are the legal owner or authorised keeper of the dog.
​
2.2 You agree to provide complete, accurate and up-to-date information about your dog before boarding, including:
-
age, sex, breed and neuter status
-
microchip number
-
vaccination status
-
medical history, allergies and medication
-
behavioural history, including any aggression, anxiety, reactivity, separation issues, escape tendencies, guarding behaviour or bite history
-
dietary requirements
-
exercise needs and restrictions
-
your regular vet’s details
-
emergency contact details

2.3 You must tell us immediately if anything changes before the booking starts.
​
2.4 You are responsible for ensuring your dog is suitable for a home boarding environment and can safely mix with people and, where relevant, other dogs.
​
2.5 You agree not to withhold any information that may affect your dog’s welfare or the safety of others.
​
3. Vaccinations, Parasites and General Health
3.1 Your dog must be in good health and fit to board.
3.2 Before boarding, you must provide an up-to-date veterinary vaccination record showing that your dog has current vaccinations appropriate for home boarding.
3.3 Unless we agree otherwise in writing, we require current vaccination cover for:
-
canine parvovirus
-
canine distemper
-
infectious canine hepatitis (adenovirus)
-
leptospirosis
-
kennel cough
3.4 Where appropriate, and at our discretion, we may accept a valid veterinary titre test certificate instead of a booster vaccination where this is supported by current veterinary evidence and the certificate clearly covers the boarding period.
3.5 Primary vaccination courses must have been completed at least 2 weeks before the start of boarding.
3.6 Dogs showing signs of infectious illness, parasites, serious injury, or any condition that may put other dogs or people at risk may be refused entry, isolated, or require immediate collection.
3.7 You confirm that your dog is on an appropriate flea, tick and worm prevention regime, where applicable.
3.8 If external parasites or another contagious condition are identified during the stay, you authorise us to seek veterinary advice and, where necessary, arrange appropriate treatment at your cost.
4. Behaviour, Compatibility and Trial Sessions
4.1 We may require a meet-and-greet, temperament assessment, daycare session, or trial stay before confirming a booking.
4.2 Where dogs from different households are boarded at the same time, you consent to your dog being introduced to other suitable dogs only after an appropriate familiarisation process.
4.3 We reserve the right at any time to separate dogs if we believe separation is necessary for safety, welfare or stress reduction.
4.4 We do not accept dogs that are aggressive, dangerously out of control, or otherwise unsuitable for our home environment.
4.5 You must disclose any previous aggressive incidents, bites, attacks, reactivity, guarding behaviour, or history of escape.
4.6 Unneutered bitches in season will not be accepted for boarding where dogs from other households are present.
5. Supervision and Daily Care
5.1 We will care for your dog with reasonable care and skill and in accordance with the information you provide, subject to your dog’s welfare needs on the day.
5.2 Dogs will be supervised appropriately throughout their stay.
5.3 Dogs will not be routinely left alone for more than 3 hours in any 24-hour period, and shorter periods will apply where needed for an individual dog’s welfare.
5.4 Dogs will have access to rest, fresh water, toilet breaks, feeding and appropriate enrichment.
5.5 We will use reasonable judgement in relation to your dog’s routine, exercise, rest and interaction with people and other dogs.
6. Exercise, Walks and Owner Consents
6.1 You authorise us to exercise your dog as appropriate to its age, fitness, health and temperament.
6.2 We will only do the following where you have expressly agreed in writing:
-
walk your dog outside the home or garden
-
allow your dog off lead
-
walk your dog with dogs from other households
6.3 If a vet advises that your dog should not be exercised, or if we reasonably believe exercise would be unsafe or inappropriate, we may reduce or stop walks and provide alternative enrichment instead.
6.4 No guarantee is given that off-lead exercise will be provided, even where permission has been granted.
7. Food, Medication and Personal Items
7.1 You must provide sufficient food for the full boarding period unless otherwise agreed.
7.2 You must provide clear written feeding instructions and tell us about any allergies, intolerances or foods to avoid.
7.3 If your dog requires medication, you must provide it in the original packaging, clearly labelled, with full written instructions.
7.4 We will administer medication only in accordance with your written instructions and any relevant veterinary direction.
7.5 We may refuse to administer medication if instructions are unclear, the medication is not properly labelled, or we reasonably believe administration would be unsafe.
7.6 We may provide treats, chews or enrichment items unless you instruct us otherwise.
7.7 Any bedding, toys, leads, harnesses, coats or other belongings left with us are left at your own risk. We are not responsible for normal wear and tear, damage caused by your dog, or loss of items unless caused by our negligence.
8. Veterinary Treatment and Emergencies
8.1 If your dog becomes ill, injured, distressed, or requires urgent care during boarding, we will make reasonable efforts to contact you and your emergency contact.
8.2 If we cannot reach you promptly, or if immediate action is required, you authorise us to obtain veterinary advice and treatment as we reasonably consider necessary in your dog’s best interests.
8.3 You agree that:
-
all veterinary fees
-
emergency call-out fees
-
medication costs
-
transport costs
-
any related expenses
incurred during your dog’s stay are your responsibility.
8.4 You authorise us to transport your dog to and from a veterinary practice, where necessary.
8.5 We will use either your regular vet or another suitable local vet, depending on urgency, location, availability and practicality.
9. Boarding Dates, Drop-Off and Collection
9.1 Boarding begins and ends on the dates and times agreed in the booking confirmation.
9.2 You must drop off and collect your dog at the agreed times unless we confirm a change.
9.3 Late collection may result in additional charges.
9.4 If you need to extend the booking, this must be agreed in advance and is subject to availability.
9.5 We may refuse to release your dog to anyone other than you unless you have authorised that person in advance.
10. Fees, Deposits and Payment
10.1 Our fees are as notified to you at the time of booking or as published by us from time to time.
10.2 A deposit of 50% of the total booking fee is required to secure the booking.
10.3 The balance is due no later than 1 week prior to the stay.
10.4 If payment is not made on time, we reserve the right to cancel the booking and retain any cancellation charges that apply under clause 11.
10.5 Additional charges may apply for:
-
extra days or nights
-
late collection
-
additional walks or services
-
emergency transport
-
cleaning costs beyond normal expectations where reasonably incurred
-
veterinary or treatment costs
11. Cancellations and Refunds
11.1 If you cancel a booking, any refund will depend on the notice you give and whether we are able to refill the space.
11.2 Unless we agree otherwise in writing:
-
if you cancel more than 14 days before the booking start date, we will refund any sums paid above the deposit
-
if you cancel 7 to 14 days before the booking start date, we may retain the deposit and charge up to 50% of the total booking value
-
if you cancel less than 7 days before the booking start date, we may charge up to 100% of the total booking value
11.3 Where we are able to refill some or all of the cancelled booking, we may reduce the cancellation charge at our discretion.
11.4 If we have to cancel your booking for reasons within our control, we will refund any sums paid for the affected period.
11.5 We will not be responsible for any indirect or consequential losses arising from a cancelled booking.
12. Early Termination, Refusal of Boarding and Owner Collection
12.1 We may refuse to accept or may end a booking early where:
-
your dog is ill, contagious, unsafe, excessively distressed, or unsuitable for the home environment
-
you have failed to disclose relevant health or behavioural information
-
your dog presents a risk to people, property or other animals
-
you breach these Terms and Conditions
12.2 If a booking is ended early for reasons set out in clause 12.1, you or your emergency contact must arrange collection as soon as possible.
12.3 In these circumstances, refunds will be at our discretion and we may retain fees to cover the booked period, time used, disruption caused, and any reasonable costs incurred.
13. Non-Collection and Abandonment
13.1 If your dog is not collected at the agreed time and you do not make contact, we will make reasonable efforts to contact you and your emergency contact.
13.2 If your dog remains uncollected, additional boarding charges at our standard applicable day or night rate may apply.
13.3 If, after reasonable efforts, we are unable to contact you or arrange collection within 24 hours of the pre-agreed collection date and time, we reserve the right to treat the dog as abandoned and to take such steps as we reasonably consider necessary, including contacting the local authority, animal welfare organisations, your vet, or any other appropriate person or authority.
13.4 You remain responsible for all costs reasonably incurred up to the point your dog is collected, rehomed, or otherwise lawfully dealt with.
14. Liability
14.1 Nothing in these Terms and Conditions excludes or limits liability where it would be unlawful to do so.
14.2 We will provide our services with reasonable care and skill.
14.3 We are not liable for illness, injury, loss, damage, death, escape, behavioural issues, veterinary costs, or other outcomes arising from:
-
pre-existing medical conditions
-
undisclosed or inaccurately disclosed health or behavioural issues
-
your dog’s natural behaviour
-
your dog interacting with other dogs where you have given consent
-
events outside our reasonable control
-
instructions given by you that we reasonably follow
14.4 You are responsible for any loss, damage, injury, expense or claim caused by your dog to the extent that it results from your dog’s behaviour, your failure to disclose relevant information, or your breach of these terms.
15. Photographs and Updates
15.1 We may send you updates, messages and photographs of your dog during its stay.
15.2 We will not use photographs or videos of your dog for advertising, social media or promotional purposes without your consent.
16. Data Protection and Privacy
16.1 We collect and use personal information provided by you for purposes including:
-
managing enquiries and bookings
-
providing boarding services
-
maintaining required records
-
contacting you about your dog
-
contacting your emergency contact or vet where necessary
-
processing payments
-
complying with legal and regulatory obligations
16.2 We will process your personal data in accordance with our Privacy Notice.
16.3 You confirm that you have authority to provide the contact details of any emergency contact and authorise us to contact them where necessary.
17. Changes to Terms
17.1 We may update these Terms and Conditions from time to time.
17.2 Any updated Terms and Conditions will apply to future bookings from the date they are published or otherwise provided to you.
17.3 No change will apply to an existing confirmed booking unless expressly agreed between you and us.
18. Governing Law and Jurisdiction
18.1 These Terms and Conditions are governed by the law of England and Wales.
18.2 Any dispute arising in connection with these Terms and Conditions shall be subject to the jurisdiction of the courts of England and Wales.
19. Acceptance
By signing our booking form, completing our questionnaire, paying a deposit, or leaving your dog in our care, you confirm that you:

have read these Terms and Conditions

understand them
-
agree to be bound by them
-
have provided accurate and complete information about your dog
